DawaNet is seeking a reliable, organized and results-driven Administrative Assistant for its projects (Understanding Islam academy in particular) at its Mississauga location.
Administrative Assistant, UIA
Reporting to the Executive Director, DawaNet, this role ensures the efficient day-to-day operation of the UIA project division office, supports the work of all other DawaNet projects and actively participates in the successful execution of all DawaNet events/workshops/programs. The position will work closely with all DawaNet project division teams ensuring that all DawaNet administrative tasks are completed in an efficient and timely manner.
Hours: 25-30 hours / week
DUTIES AND RESPONSIBILITIES:
•Handle all administrative tasks assigned
•Prepare agendas for meetings and prepare schedules
•Record, compile, transcribe and distribute minutes of meetings
•Manage the online and hard-copy filing system
•Replenish office supplies
•Book instructors, presenters and artists for programs as needed
•Responsible for the overall operation (coordination & logistics) of programs and the UIA centre
•Assist with marketing events (social media in particular)
•Assist with fundraising activities and events
•Record all online, phone and on-site program registrations; handle all communications with potential and current students / attendees
•Track all student fees
•Keep the DawaNet offices / UIA centre organized and clean
•Use computer software for tracking student registration and fees
•Provide administrative support to teaching staff including; preparing attendance sheets, parent reports, photocopying etc.
•Greet and direct visitors to correct department
•Respond to in-person, telephone and email inquiries.
WHAT YOU NEED TO BRING TO THE TABLE:
•College or university graduate
•A sound understanding of the not-for-profit and event industry
•Experience with office administration and / or event management
•Experience with a community organization as a volunteer or employee would be an asset
•Experience with photography/ videography would be an asset
•Experience with accounting/ budgeting would be an asset
•Excellent interpersonal and communication skills (written and verbal)
•Proficiency in social media and Google Drive
•Strong facilitation, coordination and organizational skills
•Attention to detail
•Willingness to take initiative
•Ability to work independently (with minimal supervision) and as part of a team
•Demonstrated Creativity in the event management environment
•Strong analytical and problem-solving abilities
•Ability to adapt to change quickly
•Time management, organizational and planning skills
•Strong computer skills (Word, Excel, PowerPoint),
•Multi-tasking skills as helping out fellow teams members whether or not they belong to UIA Project Division Team is necessary for the success of DawaNet initiatives
•Available to work Wednesdays, Thursdays, and Saturdays
•Ability to work evenings and weekends, as required
